How Do I Give Instant Online Quotes On My Website?
To give instant online quotes on your website, put a quote form on your site that asks customers the same questions you’d ask on the phone, runs their answers through your pricing, and shows a price on the spot. For a home-service business (pressure washing, window cleaning, gutters, house washing, holiday lighting, or house cleaning), that means setting your pricing inputs and minimum first, then deciding which jobs still need a visit before you’ll name a price.
What’s an instant online quote, and how is it different from a “request a quote” form?
A “request a quote” form collects a name, a number, and a note. Then the customer waits for you to call back with a price.
An instant quote asks about the job itself (size, stories, which services) and shows the price right on the screen.
The difference is timing. With an instant quote, the homeowner gets your number while they’re still on your site and still thinking about the job. With a callback, they get it hours or days later, maybe after calling two other companies. You still review the quote and confirm the details. An instant quote doesn’t replace you. It replaces the wait.
What do you need to decide before you can quote instantly?
If you can’t write down how you price a job, your website can’t do it either. For each service, decide:
- Pricing inputs: the few facts that change the price.
- A minimum charge: the lowest price you’ll show up for. It covers drive time and setup.
- Add-ons: extras you sell with the service, each priced on its own.
- What you won’t price online (more on that below).

How does the price get worked out?
Most instant quotes use the same formula:
Price = base price + (quantity × your rate) + condition adjustments + add-ons
Then one check: if the total is below your minimum, the price is your minimum.
Adjustments can be a flat amount (for a second story, say) or a percentage of the base (for heavy buildup).
Worked example (illustration only). These are made-up numbers to show the math, not suggested prices or market rates.
A two-story house wants the outside windows cleaned, plus screens:
- Base price: $40
- 24 panes × $5 = $120
- Second story: +$20
- Screens (add-on): 12 × $2 = $24
- Total: $204. That’s above the made-up $150 minimum, so the quote is $204.
A small job, 6 panes on one story: $40 + (6 × $5) = $70. That’s below the $150 minimum, so the quote is $150.
In ResponsiBid, each answer carries a base price, and “fine tune” answers add a dollar amount or a percentage of the base. You can also price in time and let your hourly rate convert it. Minimums (by service area, house size, or dollar amount) and trip charges apply on top. Customers see the price, never the setup.
How do I quote a job without going out to see it?
Owners have asked this for years, and it’s a fair worry. You can’t safely price everything sight-unseen. So don’t. Quote what you can and send the rest to a visit.
- Ask questions customers can answer. House size and stories are easy. Pane counts and gutter footage aren’t, so offer a rough option.
- Ask yes/no condition questions that move the price. “Cleaned in the last two years?” “Heavy stains, rust, or oil?” “Pets?” Each “yes” adds an amount or a percentage.
- Decide which answers you won’t price remotely: “not sure,” a height you won’t quote online, heavy damage, commercial buildings. Those get a message instead of a price, and you set up a visit.
- Ask for a photo when in doubt.
- Add a short disclaimer: the price is based on the customer’s answers and may change if the job is different when you arrive.
In ResponsiBid, you mark the answers that trigger “bid in person.” For that service, the customer sees your message instead of a price, and you reach out to set up a visit. Services you can price still show prices; if nothing can be priced, the customer lands on a thank-you page you write. You can also choose whether residential and commercial customers can get quotes from your website, set separate disclaimers for priced and unpriced quotes, and price windows and gutters by exact count or roughly by house size and stories.
Should the customer see the price before or after they give contact details?
It’s a trade-off:
- Price first, no contact details: more people reach a price, but anyone who leaves is gone. No follow-up, and no idea who looked.
- Contact details first: you get the lead even if they don’t book today, so you can follow up. Some people quit at the contact fields.
- Job questions first, contact details last, then the price: by the time they reach the contact fields, they’ve put in the effort and the price is one step away.
A simple rule: if you’ll actually follow up, contact details are worth losing a few people at that step.
ResponsiBid’s Smart Form asks about the job first: the customer picks the services they want, then fills in the property details, then their contact details. You choose which contact fields to ask for and require, and the email and text permission questions sit in that section. The form won’t give a price until every required question is answered, and the price appears on the proposal when they submit.
What should happen after they see the price?
- A proposal, not just a number. Offer good, better, and best: say, a house wash; a house wash with gutter brightening; a house wash with gutters and windows. Now they’re choosing between your packages, not between you and someone else. More in How do I price packages and bundles for exterior cleaning?
- Automatic follow-up when they go quiet. Some people will see the price and disappear. A sequence that runs on its own means nobody slips through while you’re on a job.
In ResponsiBid, the proposal shows your packages side by side. Unaccepted quotes sit in an “Open” status, and the Follow-up Builder sends the emails (and texts, to customers who opted in) you’ve set for that status, on timers you choose. When the status changes, the follow-up changes with it.
Do I need special software, or will a form builder do?
If you sell one service with one simple formula, a general form builder or calculator plugin can work.
It gets harder when you need:
- Several services on one quote, each priced its own way
- Packages, add-ons, minimums, and trip charges
- A visit instead of a price for some answers
- Quotes saved with contact details so you can follow up
- Phone quotes that match the website
That’s what home-service quoting software is for. ResponsiBid is quoting software for home-service businesses. You set up each service’s questions and pricing once. The Smart Form gives website visitors an instant quote with your packages, “bid in person” answers get a message instead of a price, and the Follow-up Builder follows up on open quotes. Your office uses the same pricing on the Call Screen for phone and in-person quotes, so callers and website visitors get the same number.
How do I put it on my website?
- Set up your pricing, then test it. Run practice jobs through the form and check the prices. In ResponsiBid, click “Use Smart Form” in the admin area.
- Give instant quotes their own page. The form needs room.
- Point every page at it with a “Get an instant quote” button, plus a link in your main menu.
- Embed the form on that page. ResponsiBid’s Smart Form can go on as many pages and sites as you like, and each quote shows which page it came from.
- If your site builder won’t allow the embed, link the “Get an instant quote” button straight to your Smart Form’s own page.

FAQ
Will an instant online quote be accurate?
As accurate as your questions and pricing. Ask what changes the price, add a disclaimer, and send unclear jobs to a visit.
Can I give instant quotes for some services and not others?
Yes. Quote what you can price from answers, and set the rest to show a message and a visit instead.
Should I just post a price list instead?
A price list works for fixed-price items. It can’t account for house size, stories, or condition. An instant quote asks those questions and adjusts the price.
Do I still need to answer the phone?
Yes. Some customers will always call. Use the same questions and pricing on the phone so callers and website visitors get the same price.
